Key activities:
- Review of procurement portals and reporting in relation to Contracts Advance outputs and forecasting of new tender opportunities and related timelines
- Regular / at least 6 mthly review of portal coding’s / categories to ensure capturing full range of DM services
- Review new tender portals / emails to assess relevance to DM teams
- Work with individuals in Sector teams working on tender responses to ensure agreed timelines met and deliverable outputs achieved
- Manage bid library / TenderBot inputs and look to utilise to create ‘1st draft’ of tender responses before handing over to relevant deliverables / question owner
- Review and summarise tender scope and requirements and draft tender deliverables for initial Bid Manager review
- Own compliance question responses to ensure relevant business services respond in a timely manner, for both PQQ’s and ITT’s
- Review time entries for tenders to understand and report on costs of responding to individual tenders
- Manage DM CV’s to ensure most recent and relevant DM CV’s are put forward for respective tender responses
- Review tender clarifications responses and advise tender team of pertinent responses which change scope / original tender question requirements
- Report and provide analysis on tender outcome statistics in order to ensure continual improvement of tender responses and success rate
- Provide support to key stakeholders in the company to develop a team of people in each Sector who are proficient at producing tender responses and understand tender processes.
- Identify improvement areas in Bid Management activities and share with Bid Manager, working to resolve and improve as directed
- Maintain and improve own expert knowledge and skills through company run and specialist CPD.
- Format and enhance tender responses
- Submitting Expressions of Interest following individual business decision and monitoring portals for any updated information
- Population of bid systems / spreadsheets with all relevant information to enable tracking and report production
- Liaise with and support cross functional departments to ensure knowledge is up to date and accurate information is supplied in all responses
- Manage any mini bid processes and take the lead on smaller, less complex tenders
- Undertake research utilising a range of portal and websites to propose individual client opportunity ‘win themes’ for related tenders
- Work closely with Bid Manager to ensure proposal responses contain innovative solutions to demonstrate capability
The successful candidate will:
- Have proven experience within a bid support role
- Creative and bold – we want to bring our bids and presentations to life with innovative ideas.
- Excellent writing, editing, and proofreading skills.
- Strong project coordination abilities, including the capability to support with multiple bids concurrently.
- Holds a critical eye and passion about supporting the delivery of the best possible bids.
- Ability to support teams and bid manager to ensure all are able to meet deadlines.
- Exceptional communication skills, both written and verbal.
- Ability to work collaboratively with cross-functional teams and subject matter experts.
- Proficiency in use of bid portals and Microsoft Office Suite.
